Payments, Wallet & Tax
This page explains where money goes, how long it takes to become available, and what the numbers on an invoice mean.
The wallet
Every client and freelancer account has a wallet. It records five kinds of movement in one list:
| Movement | What it means |
|---|---|
| Deposit | Money added from a payment method |
| Withdrawal | Money sent to your bank or payment account |
| Earning | Money received from an order |
| Spend | Money paid for an order, promotion, or fee |
| Refund | Money returned after a cancellation or dispute |
Open Wallet from the dashboard to see the balance, the history, and the status of each entry.
Available and held balance
Some earnings are held for a period before you can withdraw them.
- Available balance can be withdrawn now.
- Held balance becomes available on a future date.
- Each earning row shows an available on date when a holding period applies.
The holding period is set by the administrator and may depend on your freelancer level.
Add money
- Open Wallet and choose Deposit.
- Enter the amount.
- Choose a payment method.
- Choose Continue and complete the payment on the provider's page.
- Return to the site. The deposit shows as Pending until the provider confirms it.
- When confirmed, the status changes to Completed and the balance increases.
Payment methods
Available methods depend on the site and your country. Common options:
- Card or hosted checkout through a payment gateway.
- Bank transfer with a payment code.
- Crypto.
- Manual transfer approved by an administrator.
If a method is missing, the administrator has not enabled it or it is not available for your currency.
If a deposit does not appear
- Wait a few minutes; provider callbacks can be delayed.
- Check the provider's receipt for the transaction ID.
- Open a support ticket with the amount, method, and transaction ID.
- Do not send a second payment until support confirms the first one was not received.
Withdraw earnings
- Open Wallet and choose Withdraw.
- Enter the amount. The form shows the minimum and your available balance.
- Choose a withdrawal method and enter the destination details.
- Review the fee. Fees can include a fixed amount and a percentage.
- Choose Request withdrawal.
The request goes to Pending. An administrator approves or rejects it. When it is approved and paid, the status changes to Completed.
Why the amount is lower than you expected
- Commission is deducted from the order before it reaches your wallet.
- Withdrawal fee is deducted when you withdraw.
- Holding period may delay availability, but does not reduce the amount.
- Tax may be withheld where the site is required to do so.
The wallet row and the order page both show the breakdown.
Minimum withdrawal
The administrator sets a minimum withdrawal amount. If your balance is below it, the withdraw button is disabled or the form shows the minimum.
Commission
Commission is the marketplace's share of an order.
- It can be a percentage or a fixed amount.
- It can be global, per freelancer, or set by a subscription plan.
- Freelancer level can override it.
- Clients do not see commission on their order pages by default. Administrators can choose to show it.
The freelancer's payout is the order amount minus commission and any applicable fee.
Invoices
An invoice is created automatically:
- When an order is placed.
- When a subscription is purchased.
Invoice numbers
- Orders use a date-based number, for example
INV-20261015-000001. - Subscriptions use a sequence, for example
INV-00001.
The number is assigned when the invoice is created and does not change if the order is later refunded or cancelled.
What an invoice shows
- Company name, address, email, phone, and VAT number.
- Invoice number and date.
- Client details.
- Service or order description.
- Subtotal, discount, tax, and total.
- Commission, if the administrator has chosen to show it to clients.
- Payment status.
Download or print
Open the order or subscription and choose Invoice. Use Download PDF to save a copy. The PDF uses the company details and font configured by the administrator.
Tax and VAT
Tax is calculated at checkout and frozen on the order. Later changes to a tax profile do not change an existing invoice.
Freelancer tax profile
Freelancers can add:
- Tax type.
- Tax rate.
- Tax scheme.
- VAT number.
- Tax country.
Keep this current. An incorrect profile can produce an incorrect invoice.
EU reverse charge
If both parties are in the EU, are VAT-registered, and the supply is cross-border, the invoice may use the reverse charge rule. The tax line shows that the buyer accounts for VAT.
Reverse charge requires a verified VAT number on both sides. Verification is automatic where the site can reach the EU VIES service. If verification is unavailable, the number is saved as unverified and reverse charge is not applied.
US sales tax
Sites selling in the United States can apply state-level sales tax. The rate depends on the configured state rules.
Tax on the invoice
Tax appears as its own line. The total the client pays includes tax. The freelancer's payout is not reduced by the tax line; tax is a pass-through to the marketplace.
Currency
If the Currency Switcher plugin is active, you can change the display currency.
- Open the currency menu in the header or Settings → Currency.
- Choose a currency.
- Prices display in that currency using the configured conversion rate.
The charge is made in the currency the gateway supports. If the gateway cannot charge the display currency, the site converts to a supported currency before charging. The invoice records the charged amount.
Refunds
Refunds follow the site's cancellation policy.
- A cancelled order can be refunded to the wallet or to the original payment method.
- Wallet refunds appear immediately as a Refund row.
- Gateway refunds depend on the provider and can take several business days.
- Commission and fees may be non-refundable.
If a refund is missing, open a support ticket with the order number.
Manual payments
If the site accepts bank transfers or offline payment:
- Place the order and choose the manual method.
- Follow the instructions on screen. Include the payment code exactly.
- Upload the receipt if asked.
- Wait for an administrator to approve the payment.
- The order moves to paid and the invoice is issued.
Manual approvals can take longer than automatic gateways. The order page shows the pending state.
Keeping records
- Download invoices after each order or subscription.
- Export your wallet history before closing an account.
- Keep the transaction ID for every deposit.
- Reconcile payouts against the wallet's Withdrawal rows.
