How To Approve Accounts And Subscription Plans

All new websites sit behind an approval step. Depending on how the customer paid, that step is either automatic or needs a landlord admin to approve it.

This page explains both cases and where to find the approval buttons.

Note

Only a landlord admin can approve an order or change an account status. The buttons are hidden when the admin role does not have the Package Order Manage permission.

Automatic approval

These orders do not need a manual approval:

Payment typeWhat happens
Online gateway (Stripe, PayPal, Razorpay, Mollie, etc.)The gateway confirms the payment, the payment log is marked complete, and the website, database and admin credentials are created automatically.
Free package, when Enable/Disable free package auto approve is turned onThe order is marked complete and the website is created immediately.

To turn automatic approval on or off for free packages:

  1. Go to Price Plan → Settings.
  2. Find Enable/Disable free package auto approve.
  3. Turn it on to create free websites immediately, or off to send free orders to the admin approval queue.
Warning

Manual payment and bank transfer orders are never approved automatically. The admin must confirm that the money was received before the customer gets a website.

Manual approval

Approve a subscription plan

  1. Open Package Order Manage → All Order, Pending Order or In Progress Order.
  2. Find the row with the pending payment.
  3. Click the green check button in the Payment Status column.
  4. Confirm the Are you sure to approve this payment? popup.

The same green check button also appears on Package Order Manage → All Payment Logs for manual payment and bank transfer orders.

When an order is approved:

  • payment_status becomes complete.
  • The subscription start and expiry dates are set.
  • A website (tenant), its database and domain are created if they do not exist yet.
  • Login credentials are emailed to the customer.

Approve a trial website

Trial orders are free but still need approval. They appear in Package Order Manage → All Order with the status trial.

  1. Open Package Order Manage → All Order.
  2. Find the trial row and click the green check button next to Pending.
  3. Confirm the popup.

You can also use Update Status → Complete on the same row. Both actions run the same trial approval and create the trial website.

Warning

A trial approval only works while the order status is trial. If the trial was already approved, the panel reports Trial already approved and does not create a second website.

Change an existing account status

Use this when the website already exists and you only need to change its account or payment status, for example to reactivate a suspended account.

  1. Open Users Manage → All Users.
  2. Click the eye icon on the customer row to open User Details.
  3. In the site card, click Manage Approval.
  4. Choose the new Account Status (Pending, Complete or Cancel) and Payment Status (Pending, Complete or Cancel).
  5. Click Update.

The panel reports Tenant account status is updated when the change is saved.

Where the status values are used

ValueMeaning
pendingThe order or account is waiting for admin approval. The customer cannot use the website yet.
in_progressThe order is being processed. It still needs approval before the website is usable.
trialA free trial request waiting for approval.
completeApproved. The website is active and the subscription dates are applied.
cancelCancelled or suspended. The customer keeps the data but cannot use the website, depending on the cancel type.

Troubleshooting

  • No green check button: the order is not payable by approval (for example an already completed online payment), the order is already complete, or the admin role is missing the Package Order Manage permission.
  • Approval says “Trial already approved”: the trial payment is already complete. Check the customer's site under Users Manage → All Users → View Details.
  • Website was not created after approval: check Website Issues in the admin sidebar. A failed database or domain creation is recorded there so it can be generated again.
  • Customer did not receive credentials: resend the mail from Users Manage → All Users → Send Mail, or ask the customer to use the password reset link.
